Purpose:
- Provide critical accounting-related services to a growing strategic communications and professional management firm, and one of its key clients.
- Support the productivity of the company’s creative teams.
- Client services and event coordination (optional).
Scope:
Permanent part-time. Flexible scheduling. Scope of role can be customized (half-time to three-quarters time) to fit the right candidate.
Qualifications:
- Associate’s Degree or higher in accounting, business or related.
- 5 years professional experience
- Strong knowledge of bookkeeping fundamentals
- Working knowledge of QuickBooks or similar
- Working knowledge of Excel, MS Word and Google Suite
- Organized self-starter who is detail focused
- Excellent written and verbal communication skills
- Willingness to learn
Working Conditions:
Casual corporate office with hybrid remote option
Half time role includes:
Bookkeeping: Manage company and client AR, AP and banking tasks:
- Create and email advertising and sponsor invoices
- Invoice billable hours and monthly retainers for marketing clients
- Receive and record payments; make timely deposits
- Enter and pay bills
- Track sales data to assist CPA with monthly reconciliation
- Track receivables and send collection emails
- Keep accurate and orderly accounting files
Creative Production Support: Support business development and production teams:
- Provide advertisers with specs, deadlines and reminders
- Distribute ad run sheets to production managers
- Collect and distribute ad materials
- Communicate special requests or late changes to designer/client
- Review ad placements across all mediums to ensure accuracy
- Use a system to archive materials and manage files
- Work with business development staff and advertising sales account executives to secure late or missing materials
- Support business development with client outreach/follow-up
- Conduct client outreach, as needed, to ensure schedules are maintained
Other: Assist all departments with operational objectives, including:
- Vendor management of office equipment and services including copiers, printers, and internet service providers
- Provide vacation backup in key areas, as available
- Maintain and order necessary office supplies
- Take lead to maintain orderly office environment
- Facilitate company communications
- Plan team events
- Assist managers with scheduling, as needed
- Support other departments, as needed
Three-quarter time role includes duties listed above, plus:
Client Services and Event Coordination: Support key association management client with
outstanding customer service, including:
- Maintaining accurate member records; manage annual renewals
- Supporting member outreach and growth initiatives
- Implement member communications, both print and digital
- Perform simple periodic website updates, training provided
- Organize board communications, includes attending board meetings and recording and disseminate minutes
- Provide customer service to members, as requested
- Assist with budget preparation
- Oversee production of membership directory
- Assist with event planning, including collaboration with marketing team for social, direct mail and digital outreach
- Collaborate and support vendors/sponsors that support events
- Plan supplemental events, such as theater outings or luncheons
- Manage event registrations, including processing payments, keeping lists, producing nametags, handouts and/or special requests
- Provide onsite event and meeting support (2- to 4-times per year)
